Best Christmas gift tracker: spreadsheet vs printable (2026)

How to track Christmas gifts and a holiday budget, and whether a spreadsheet or a printable list fits you better.

Short answer

If you buy for more than about 10 people or order online, use a spreadsheet: it totals spending, flags over-budget gifts and tracks orders. If you buy for a few people and like paper, a printable list is simpler.

What a good gift tracker should include

A row per recipient with a budget, the gift, where it is from, what it cost and a status (idea, ordered, arrived, wrapped, given); a total holiday budget that includes food, decor, cards and travel; and an order tracker with expected dates.

Our two options

Christmas Gift Tracker Spreadsheet ($6.99): one .xlsx file for Excel or Google Sheets. 150-row gift list, over-budget gifts turn red, holiday budget, order tracker with late flags, card list and a dashboard with days until Christmas.
Christmas Gift List Printable ($3.99): 2 PDFs (US Letter and A4), 10 pages each, with gift tracking, budget, card list and a December planner.

Pros and cons

Spreadsheet pros: automatic totals, shareable, reusable next year. Cons: needs a computer for setup; small screens are fiddly. Printable pros: no tech, nice on the fridge. Cons: no automatic math, and you rewrite it each year.

Free alternative

A blank sheet with columns for name, budget, gift and cost works fine for a short list. Paid templates save setup time and add the dashboard, order tracking and formatting.
